On average the Norfolk Constabulary welcomes between 50 - 60 visitors per day. This can vary considerably dependant on the events of the day, such as regional meetings.  Previously the constabulary operated a manual visitor management system; however the manual system meant that moving visitors through the reception process on busy days could be time consuming and labour intensive. 

As a PFI (Private Finance Initiative) site the management of reception and the provision of the visitor management system is managed by the designated service provider.  In 2006 the decision was made to review the existing visitor management process and consider implementing an electronic visitor management system.  At this time the Norfolk Constabulary approached Kalamazoo with a view to implementing the VisitorNet solution.

The Solution

In November 2006 the VisitorNet application was installed at Jubilee House. The VisitorNet solution enables the receptionist to quickly and efficiently input visitor information and print fully customised visitor badges. Kalamazoo provide fully branded and attractive visitor pass base stock to the Norfolk Constabulary and these are overprinted with visitor information using the VisitorNet solution.

The solution builds a comprehensive database of visitor information which eliminates the need to re-enter visitor information when attending for a second time. This database is also imperative for producing instant fire lists and helping to meet stringent Health & Safety requirements.

Policeman01.jpgWhat’s more, VisitorNet enables guests to be quickly pre-booked into the system and badges can be pre-printed in preparation for their arrival and streamlining the check-in process. 

“The VisitorNet system is ideal for days when we are holding large events, such as the Police Authority meetings.  On these days we can invite up to 80 guests and we are required to provide visitor passes quickly and efficiently. The old manual pass system was labour intensive and meant we witnessed significant delays during the signing in process,” commented Rose Calton, Facilities Supervisor for the Norfolk Constabulary.

The Result

Since the system has been installed the Norfolk Constabulary has experienced significant improvements in the management of visitors. 

Rose commented “The VisitorNet system is easy to use, stores all the relevant information and is great when you have to search for a particular visitor by name or date of visit, but most of all its very quick and looks very professional when visitors arrive to sign in.”

“I have nothing but praise for the system and it is a shame we did not have it in place from day one.  The photograph and details on each persons badge clearly highlights to any member of staff who the visitor is and their identity,” commented Rose Calton.

Rose concluded that, “The Norfolk Constabulary are very happy with the VisitorNet product.”
